City of Round Rock Tuition Assistance Program

Summary:

The tuition assistance program is intended to provide financial assistance to City of Round Rock employees who are seeking education and/or certification for career and/or professional development.  Courses taken through this program are required to be career or job-related.  Employees must enroll with for-credit courses or certifications through an accredited academic institution.  This program is administered by the Benefits Division of the Human Resources Department.

Eligibility:

Full-time and part-time regular employees who have successfully completed their probationary period of six (6) months with the City prior to the beginning of the semester for which they are enrolling are eligible.  Employees who are on disciplinary probation or suspension, and/or who owe the City money for failed and/or dropped classes at Austin Community College (“ACC”) or Texas State University (“TXST”) are ineligible and will not be allowed to participate.  Employees approved by Human Resources to participate in the program may receive no more than $5,000 (full-time employees) and $2,500 (part-time employees) per fiscal year for tuition and required fees only (books, equipment and supplies are ineligible).  Funds for this program must first be approved by the City Council and will then be distributed on a first-come, first-serve basis.

Enrollment in the Program:

Eligible employees must complete and submit to Human Resources a Tuition Assistance Application prior to the start date of the course(s) the employee enrolls.  Employees who do not submit an application to Human Resources prior to the start of their course(s) will be ineligible for participation in the program.  If not already on file with Human Resources, an employee must submit the curriculum plan leading to a diploma, degree or certificate.

Terms and Conditions:

  1. Employees who receive sponsorship prior to the completion of the course(s) they enroll in at ACC or TXST and who do not pass their course(s) will be required to refund the City for all education assistance advanced.  This amount will be deducted from the employee’s paycheck.  Employees who apply for reimbursement but do not pass or withdraw from their course(s) are ineligible for reimbursement.

Documentation Required for Tuition Assistance – Sponsorship at ACC and TXST:

All documentation must be submitted to Human Resources prior to the start of an employee’s course(s):

  • Completed Tuition Assistance Application
  • Degree plan (if not already on file with Human Resources)
  • ACC or TXST Student ID #
  • Proof of registration for the course(s) the employee enrolls
  • Cost of course(s)

After completion of course(s) at ACC or TXST, employees must submit their official grade report to Human Resources.

Documentation Required for Tuition Assistance – Reimbursement from an accredited academic institution:

All documentation must be submitted to Human Resources prior to the start of an employee’s course(s):

  • Completed Tuition Assistance Application
  • Degree plan (if not already on file with Human Resources)
  • Proof of registration for the course(s) the employee enrolls
  • Cost of, and proof of payment for, the course(s) the employee enrolls.

After completion of course(s) at an accredited academic institution, employees must submit their official grade report to Human Resources.
